Office Manager – Construction

Location: Indianapolis, Indiana

Position Overview

We are seeking an experienced Construction Office Manager to oversee administrative, financial, and operational support for our Indianapolis-based construction company. This role is critical to keeping projects, crews, job costs, and cash flow organized and moving efficiently.

The ideal candidate has prior experience in construction or the trades and understands job costing, subcontractors, payroll for field crews, and the fast-paced nature of construction operations.


Key Responsibilities

Office & Administrative Operations

  • Manage daily office operations for a construction company

  • Serve as the primary office contact for field crews, vendors, subcontractors, and customers

  • Maintain job files, contracts, permits, warranties, and lien documentation

  • Coordinate scheduling between office staff, project managers, and field crews

  • Handle incoming calls, emails, and customer communications

  • Order and manage office and jobsite supplies

Construction Accounting & Job Costing

  • Manage accounts payable and accounts receivable

  • Process vendor and subcontractor invoices

  • Track job costs, labor, materials, and overhead

  • Prepare customer invoices and progress billings

  • Reconcile bank and credit card accounts

  • Maintain accurate financial records using QuickBooks or similar software

  • Assist ownership with job cost reports and monthly financials

Payroll, HR & Compliance

  • Coordinate weekly or bi-weekly payroll (hourly field crews, salary staff, commissions)

  • Track timecards, job codes, and labor allocations

  • Maintain employee files, certifications, and licensing documentation

  • Assist with onboarding and offboarding of employees

  • Support workers’ compensation audits, payroll reports, and compliance documentation

Construction-Specific Support

  • Manage certificates of insurance (COIs) for subcontractors

  • Track lien waivers, W-9s, and subcontractor agreements

  • Assist with permit applications and inspections

  • Support insurance claim documentation and supplements (if applicable)

  • Maintain vendor and subcontractor relationships


Qualifications

Required

  • 3+ years of construction office management or construction administration experience

  • Experience in construction, roofing, restoration, or skilled trades

  • Strong understanding of job costing and construction workflows

  • Proficiency in Microsoft Excel and accounting systems

  • High attention to detail and strong organizational skills

  • Ability to work independently and manage multiple priorities

Preferred

  • QuickBooks experience (job costing, A/P, A/R)

  • Payroll experience with hourly field crews

  • Experience with lien waivers, permits, and COIs

  • Familiarity with JobNimbus, AccuLynx, Buildertrend, or Procore

  • Xactimate or insurance restoration experience


Compensation

  • $60,000 – $75,000 annually, based on experience

  • Paid time off and paid holidays
